How to Write a Contractor Quote That Wins the Job
You just walked a job site with a homeowner. They liked you. Now they're waiting for a number. What you send next determines whether you get the job or lose it to the guy who texts back faster.
Most contractors lose winnable jobs not because their price is wrong — but because their quote looks unprofessional, arrives late, or doesn't clearly communicate what the client is paying for.
Here's how to write a contractor quote that wins.
1. Respond fast — within 2 hours
Speed is the single biggest factor in closing residential jobs. A study by InsideSales found that responding within 5 minutes makes you 21x more likely to qualify a lead compared to waiting 30 minutes.
You don't need a perfect quote right away. Even a quick text saying "Thanks for having me out, I'll have your quote ready by tonight" keeps you top of mind.
2. Start with your business info
Your quote should look like it comes from a real business, not a random phone number. Include:
- Business name and logo
- Phone number and email
- License number (if applicable)
- Address (optional, but adds credibility)
This is basic, but most solo contractors skip it. A branded header immediately sets you apart from the guy who texts "I can do it for 4500."
3. Name the client and the project
Address the quote to the specific person and describe the specific job:
Prepared for: Sarah Johnson Project: Full exterior paint — 2,400 sq ft ranch, 123 Oak Street
This shows you were paying attention during the walkthrough and aren't sending a generic template.
4. Break down the line items
Never send a single lump sum. Always itemize:
| Item | Qty | Unit Price | Total | |------|-----|-----------|-------| | Pressure washing (exterior) | 1 job | $450 | $450 | | Scraping & prep work | 1 job | $800 | $800 | | Primer coat (Sherwin-Williams) | 2,400 sqft | $0.75 | $1,800 | | Finish coat (2 coats, SW Duration) | 2,400 sqft | $1.25 | $3,000 | | Trim & detail work | 1 job | $650 | $650 |
Why this matters: Homeowners trust itemized quotes because they can see exactly where their money goes. A lump sum feels like guesswork. Itemized feels like expertise.
5. Show the math — subtotal, tax, total
After your line items, clearly show:
- Subtotal: $7,700
- Tax (if applicable): $0
- Total: $7,700
- Deposit due: $3,850 (50%)
Be explicit about the deposit. Contractors who collect deposits upfront are seen as more professional, and they protect themselves from no-shows.
6. Attach job site photos
If you took photos during the walkthrough, include 2-3 in the quote. This does two things:
- Shows the client you documented the specific conditions
- Protects you if there's a dispute about scope later
A photo of peeling paint with a caption "North-facing wall — extensive prep needed" justifies your pricing better than any paragraph of text.
7. Include your terms
Keep it simple but cover yourself:
- Quote valid for 30 days
- 50% deposit required to schedule work
- Estimated completion: 5-7 business days after start
- Change orders billed at $X/hour
- Payment due upon completion
8. Make it easy to say yes
The biggest mistake? Making the client work to accept. If they have to call you back, email you, or — worst case — print and sign a PDF, you're adding friction.
The best contractor quotes let the client:
- View it on their phone (not a PDF attachment)
- Sign it digitally (finger on screen)
- Pay the deposit immediately (credit card)
The fewer steps between "I want to hire you" and "you're hired," the higher your close rate.
The fast way to do all of this
You can build professional quotes manually using Word or Google Docs. But if you're doing more than a few quotes a month, that's a lot of time spent formatting instead of working.
BidCraft lets you build branded, itemized quotes on your phone in under 5 minutes. Pick items from your saved price list, attach photos, send it via text message, and your client can sign and pay the deposit — all from the link you sent them.
It's free to start. No credit card required.
